Onboarding Docs
Doc Regia can automate the creation of onboarding documents for new employees, students, or members. A single form collects all the required personal information, and a personalised welcome packet or intake document is generated and delivered automatically.
The workflow
Step 1 — Create the project
Create a new project in Doc Regia. In the Questions tab, build a form that collects the information your onboarding process requires: full name, email, role or department, start date, emergency contact, and any other details relevant to your organisation.
In the Template tab, design the onboarding document. This might include a welcome message, a summary of the information provided, key contacts, first-day instructions, or links to internal resources — all personalised with {{placeholders}} from the form.
In Share & Notify, enable Email to sender so each new hire receives their document automatically. You can also enable Internal email notifications to alert HR or the hiring manager when a new submission arrives.
Step 2 — Collect information
Send the form link to the new hire before their start date. Once they fill it in, Doc Regia generates the personalised onboarding document and delivers it via email.
Step 3 — Review if needed
If your process requires a manager’s review or signature before the document is finalised, use Return Docs to review, annotate, and sign each document before returning it to the new hire.
Step 4 — Archive
All generated documents are stored in the project folder on Google Drive. Use Print & Download to export them as a ZIP archive for compliance or record-keeping purposes.
💡 Tip: Share the project’s Documents folder with your HR team using Sharing & Alerts, so all onboarding records are accessible from a central location without granting access to the full project.
