Sign Regia — Request an electronic signature

Sign Regia is the simple electronic signature (SES) system built into Doc Regia. It lets you have a document signed directly by the recipient: the recipient receives an email, opens the document in their browser, and signs it from their phone or computer — with no software to install and no account to create.

Don’t confuse this feature with Sign Documents: there, you, the Doc Regia user, draw your own handwritten signature on the document before returning it. With Sign Regia, instead, it is the recipient (client, parent, student, employee…) who signs. The two features are complementary and, used together, cover a document’s entire signing cycle.

How it works — the process in four steps

  1. Generate or select the document. Doc Regia creates the document from the form response. You’ll find it in the Return Docs panel, ready to review.
  2. Send the signature request. In the Signature column, click Request on the chosen document, or select several documents and use the signature-request icon in the toolbar to send them in bulk. The recipient receives an email with a button to open and sign.
  3. The recipient signs online. A dedicated page opens on regiasuite.com where the recipient sees the document, types their name, and draws their signature. Everything from the browser, with no software to install and no sign-up.
  4. Receive the signed document. As soon as the signature is applied, a countersigned PDF is generated in the returned-documents folder and the status in the panel changes to Signed. Click the status to open the signed PDF.

Signature statuses

  • Request — the request hasn’t been sent yet. Click to send the email to the recipient.
  • Pending — the email has been sent and you’re waiting for the recipient to sign. Hover the status to see the send date; click to cancel the request.
  • Signed — the recipient has signed. The status becomes clickable to open the signed PDF.

Use the signature-status refresh icon in the toolbar to fetch recently signed files and bring the panel statuses up to date.

Multi-signature — up to 15 signers on one document

Beyond single requests, Sign Regia lets you collect signatures from up to 15 people on the same document, all in a single request. Instead of sending the document to one signer at a time, you send one multi-signature request and every recipient signs the same document.

Each person receives an email with a secure, expiring link and signs directly from their own device — desktop or phone — with no account to create and no app to install.

  • Track every signature. A live counter shows how many people have signed and who is still pending, across the full 7-day signing window. At any moment you know exactly where the document stands.
  • Automatic on completion. Once everyone has signed, the final countersigned PDF is generated automatically, saved in the Return Docs panel, and emailed to every signer. No manual assembly, no chasing people.

Collecting many signatures on a single document becomes one automated flow: the signer meets no friction, and the document owner keeps everything in one place — from the Google Forms response all the way to the fully signed PDF.

The full signing flow — who signs and when

Sign Regia combines with the user’s handwritten signature to cover different scenarios. The sequence is always one-way: you sign first, the recipient signs last. This reflects the real order of a document workflow, where you prepare and validate the document and the recipient countersigns at the end to accept it.

  • Two-party signing (contract, agreement). You first add your own handwritten signature to the document, return it, then send the Sign Regia request: the recipient countersigns. Result: a document signed by both parties.
  • Recipient signature only (acknowledgement, authorisation, consent). You skip your own signature and send the Sign Regia request directly: the recipient signs to confirm they’ve read the document or to authorise it. Ideal for waivers, consent forms, and delivery confirmations.

💡 A note on order: the recipient’s signature is always the last act in the flow. It is applied to a PDF copy of the document, not to the source Doc: the original document stays clean, while the recipient’s signature lives only on the signed PDF. For this reason, once the recipient has signed, the document is “closed”: if a new version is needed, simply regenerate it.

No software, no account for the recipient

The recipient doesn’t need to install any app or sign up: they sign in a few seconds from their phone or computer, straight from the link received by email. The signing page is hosted on regiasuite.com, so the recipient always sees a clear, trustworthy domain.
