Create your first project

Create your first project

Before you start — open the right spreadsheet

Every Doc Regia working session starts from the dedicated spreadsheet inside the environment folder in Google Drive:

  1. Open Google Drive
  2. Open the environment folder Doc Regia – [Environment Name]
  3. Open the Doc Regia spreadsheet inside the folder
  4. Launch the add-on from Extensions → Doc Regia → Open Doc Regia

💡 Tip: Always start from the Doc Regia spreadsheet inside the environment folder. Opening the add-on from a different spreadsheet will not load your projects.

Step 1 — Create a new project

Click New Project from the sidebar or the projects panel. The New Project panel will open with 4 tabs to configure.

In the Project tab:

  • Enter a Project name (e.g. “Music course enrollment”)
  • Add an optional Form description — shown below the form title
  • Configure form permissions:
    • Collect email — saves the respondent’s email (required for “Email to sender”)
    • Logged-in users only — requires a Google account to fill in the form
    • Anyone with the link — allows filling in from outside your domain
    • Limit to one response — each user can submit only once (requires login)

Step 2 — Add questions

Go to the Questions tab and use the form builder to add your questions. For each question you can choose the type: Short answer, Paragraph, Multiple choice, Checkboxes, Dropdown, Linear scale, Rating, Date, Time, or File upload. You can also add Headers and Sections to organise the form.

💡 Tip: The question titles become the {{placeholder}} tokens in your template — name them clearly.

Step 3 — Design your template

Go to the Template tab. You have two options:

  • Template editor — write your document directly in Doc Regia using the Header, Body, and Footer sections. Click inside the template, then click a placeholder on the right to insert it at the cursor position.
  • Existing template — link a Google Doc you have already created. Enable Auto-fill from questions to automatically map placeholders from your questions.

Step 4 — Configure folders and output

Go to the Folders & DOC tab:

  • Choose between Generate DOC or Generate PDF
  • Set the Document file name pattern — use placeholders to personalise it (e.g. Surname Name - Enrollment)
  • Optionally set a Folder name pattern to organise responses into sub-folders

Step 5 — Set up notifications (optional)

Go to the Share & Notify tab:

  • Team Email Notifications — notify a fixed address on every new response
  • Email to sender — send a confirmation email to the respondent with a read-only link to their generated document
  • Project sharing — share the folder or documents with one or more email addresses

Step 6 — Create the project

Click Create Project. Doc Regia will create the Google Form, the folder structure in Google Drive, and activate the hourly trigger. From this moment, every new form response will automatically generate a filled document.

💡 Tip: The hourly trigger runs automatically in the background — you don’t need to keep Google Sheets open.
