Meeting Minutes

Meeting Minutes

Doc Regia can standardise the way meeting minutes are recorded and distributed. By filling in a structured form during or after each meeting, a formatted minutes document is generated automatically and shared with all attendees.

The workflow

Step 1 — Create the project

Create a new project in Doc Regia. In the Questions tab, build a form with the fields your minutes typically include: meeting title, date, attendees, agenda items, decisions taken, action items with owners and deadlines, and any notes or follow-ups.

In the Template tab, design a clean minutes layout. A typical structure includes a header with the meeting title and date, a section for attendees, and a body with agenda items and decisions — each mapped to {{placeholders}} from the form.

In Folders & DOC, choose Google Doc as the output format so attendees can add comments or edits after receiving the document.

Step 2 — Record and submit

After each meeting, the designated note-taker fills in the form. The submission triggers automatic document generation via the hourly trigger. For immediate delivery, use Manage Generation to generate the document manually.

Step 3 — Distribute

Enable Email to sender in Sharing & Alerts to send the note-taker a link to the generated document. Use Internal email notifications to notify the rest of the team automatically.

Alternatively, share the project’s Documents folder with your team using Project sharing in the same panel, so all minutes are accessible from a single shared location in Drive.

💡 Tip: Create one Doc Regia project per recurring meeting series (e.g. “Weekly Team Sync”, “Board Meetings”). All minutes for that series are collected in the same project folder, creating a searchable archive over time.
