Project panel

Project panel

The Projects Workflow panel is the main hub where you manage all your projects in the active environment. Open it from the sidebar by clicking Manage Projects.

Anatomy of the panel

At the top of the panel you find:

  • The breadcrumb showing the current environment (e.g. Projects - Main Workspace)
  • A New project button in the top right to create a new project
  • A three-dots menu with options to show or hide projects from the list

Project list

Each row represents one project and shows the following elements:

  • Checkbox — selects the project for bulk actions on multiple projects at once
  • State icon next to the project name:
    • Green play — the project is active and generating documents from new responses
    • Red pause — the project is paused, no document is being generated
  • Project name
  • Three toggles on the right: Responses, Reset, Archive

The three toggles

  • Responses — turns automatic document generation ON or OFF. When OFF (red), new form responses are still collected but no document is generated. The state icon switches to ⏸ pause.
  • Reset — controls whether the project is in active or reset state. Switching it OFF wipes the project content; switching it back ON reactivates the project (see the dedicated section below).
  • Archive — moves the project to the Archive folder in Google Drive, hiding it from the active list without deleting it. Switching it back OFF restores the project to the active list.

💡 Tip: The Responses toggle is independent from the form access settings. You can keep the form open to new submissions while pausing document generation, for example during a review phase.

Reset — wipe and reuse a project

The Reset toggle is the most powerful action on a project. It lets you reuse the same project from scratch — for example, to run the same enrolment form for a new academic year, or to clean up a project after a testing phase.

  • Switching Reset to OFF wipes the project’s content: all collected responses, the template, and all generated documents are permanently deleted. Only the form questions are preserved.
  • Switching Reset back to ON reactivates the project. The form questions are still in place, but the template must be recreated in the template editor or imported again.

A confirmation dialog appears before the wipe is executed.

⚠️ Warning: The Reset wipe is permanent and cannot be undone. Make sure you have downloaded or archived any responses, templates, and generated documents you want to keep before switching Reset to OFF.

Bulk actions

Use the checkboxes on the left of each row to select multiple projects at once and apply bulk actions — for example, archiving several projects together at the end of a season.

Hidden projects

Click the three-dots menu in the top right to open the hidden projects controls:

  • Show hidden projects (ON/OFF) — when ON, hidden projects appear in the list; when OFF, they are masked from view
  • Move to hidden — moves the selected project to the hidden list
  • Restore to list — brings a hidden project back to the active list

Hiding a project is different from archiving it:

  • Hide — the project is only masked from the panel view. It stays in its current folder in Google Drive and continues to function normally.
  • Archive — the project is physically moved to the Archive folder in Google Drive and removed from the active list.

💡 Tip: Hiding projects is available on PRO and PRO Business plans. Use it to keep the panel tidy when you have many projects but don’t want to move them to the archive.

Right panel — project actions

When you select a project, the right panel shows all available actions grouped in 4 sections.

Form

  • Get link — copies the form link to share with respondents
  • Form settings — edit the form’s name, description, and access permissions
  • Sharing & Alerts — manage sharing settings and notifications
  • Project folder — opens the project folder in Google Drive

Documents

  • Responses — view and manage the form responses
  • Review & Return — review generated documents and return them to respondents
  • Download & Print — download or print generated documents
  • Open folder — opens the documents folder in Google Drive

Templates

  • Manage template — edit template settings and placeholders
  • Sync template — sync placeholders from form questions to the template
  • Open template — opens the Google Doc template

Workflow

  • Manage generation — manually trigger or manage document generation
  • Import form — import an existing Google Form into the project
  • Manage schedule — set or edit the scheduled form close date
  • Open archive — access archived projects
