Graded Tests & Returns
Doc Regia automates the entire test lifecycle — from distributing the form to returning graded documents to each student, all without manual copy-paste or email attachments.
The workflow
Step 1 — Create the project
Create a new project in Doc Regia. In the Questions tab, build your test form with the questions you want students to answer. In the Template tab, design the document that will be generated for each submission — this is the graded sheet that will be returned to students.
In Folders & DOC, choose whether to generate a Google Doc or a PDF depending on your preference. PDF is recommended if you want to prevent students from editing the returned document.
In Share & Notify, enable Email to sender so each student automatically receives a link to their generated document once it is processed.
Step 2 — Distribute the form
Once the project is created, go to Manage Projects, select your project and click Get link to copy the form URL. Share the link with your class via Google Classroom, email, or any other channel.
💡 Tip: If your school uses Google Workspace for Education and students are on Chromebooks, your IT admin can lock the browser to a specific URL during the test — preventing students from browsing freely while the form is open.
Step 3 — Monitor responses in real time
While students submit their answers, open the Responses panel from the project actions. You can see incoming responses in real time as students complete and submit the form.
Step 4 — Document generation
Doc Regia generates documents automatically via the hourly trigger — no manual action needed. Each new form response produces a filled document saved to the project folder in Google Drive.
If you need documents immediately, use Manage generation to trigger generation manually without waiting for the next hourly run.
💡 Tip: The trigger processes 30 to 50 documents per hour depending on template size and any file attachments included in the form responses.
Step 5 — Review & Return
Once documents are generated, open Review & Return from the Documents section. Here you can:
- Review each student’s generated document
- Correct and annotate directly in the Doc format
- Add custom notes to individual documents
- Customise the return email with a personalised message and attachment
- Send corrected documents to all students at once, or select specific students only
- Re-send documents even after a previous return has already been sent
Step 6 — Download & Print
After returning documents, you can also open Download & Print to:
- Print individual or all documents
- Download documents as a ZIP archive
- Export to PDF for archiving
💡 Tip: Use a separate Doc Regia project for each test or subject — this keeps responses and generated documents neatly organised in their own Drive folders.
