Sign Documents

Sign Documents

The Sign Documents feature lets you, the Doc Regia user, add your own handwritten-style signature to a generated document before returning it to the respondent. It is designed for workflows where a personal or official sign-off by you is required — such as graded tests, approved requests, or certified documents.

✍️ This is your signature, not the recipient’s. If you instead need the recipient to sign the document (for acknowledgement, authorisation, or to countersign a contract), use Sign Regia — Request an electronic signature. The two features are complementary: you sign first, the recipient signs last.

How it works

From the Return Docs panel, click the pen icon in the toolbar to open the signature dialog. The dialog displays the respondent’s name and the current date at the top, and a signing area where you can draw your signature using a mouse or your finger on a touchscreen.

Signing tools

Below the signing area you will find a compact toolbar with the following controls:

  • Ink colour — choose between black and blue.
  • Pen size — switch between a thin and a thick stroke.
  • Undo — step back through your last strokes one at a time.
  • Clear — erase the entire signature and start over.

When you are satisfied with your signature, click Insert signature to apply it to the document. The dialog closes automatically. To leave without signing, click Cancel. Your signature stays available for reuse during the session, so you can sign several documents without redrawing it each time.

Adding a note

After inserting your signature you can click Add note in the Return Docs panel to append a short text below the signature. The note is included at the bottom of the document and will be visible in the PDF returned to the respondent — useful for adding feedback, a grade, or brief instructions.

💡 Tip: Signing and adding notes are optional steps. You can return a document with only a signature, only a note, or both. The signature is embedded directly into the document, so it is preserved when the file is downloaded or printed.

Plan availability

The Sign Documents feature is available on the PRO and PRO Business plans. See the Pricing page for the full plan comparison.
