Requests to PDF / Protocol

Doc Regia can convert any form-based request into a formatted PDF document — ideal for internal protocols, formal requests, purchase orders, leave applications, or any workflow where a submission needs to be archived as an official record.

The workflow

Step 1 — Create the project

Create a new project in Doc Regia. In the Questions tab, build a form that captures the information required for the request: requester name, department, request type, description, priority, and any supporting details.

In the Template tab, design a formal document layout. Include an institutional header, a protocol number section (using the {{Timestamp}} placeholder as a reference), the request details mapped via {{placeholders}}, and a footer for signatures or approval.

In Folders & DOC, select PDF as the output format. This ensures the document is tamper-proof and suitable for archiving.

Step 2 — Receive requests

Share the form link with the relevant users — employees, departments, or external parties. Each submission is automatically converted into a formatted PDF and stored in the project folder on Google Drive.

Step 3 — Process and archive

Open Responses to track incoming requests. The generated PDFs are available in the project folder, organised chronologically. For requests that require approval, use Return Docs to review, sign, and return the approved document to the requester.

💡 Tip: Use the file name pattern in Folders & DOC to include the requester’s name or a reference number in the file name — this makes it easy to locate specific requests in the Drive folder without opening each file.
